Booking, memberships, consent forms, clinical records, the till and an arrival iPad. One calm system in your clinic’s own brand, running on your own Square account.
Built inside a working skin clinic, not from a feature list. 30-day free trial, no card needed.
Most clinics run on a free booking app funded by a marketplace and payment fees, then stitch the rest together: a paper consent folder, a Google Form, a WhatsApp group, a spreadsheet for holidays. The app is fine for a barber. It was never built for a clinic that sells memberships, needs signed consent for every treatment and keeps clinical notes for eight years.
Xenkeep is the other thing. One system that starts with what your client sees, from the booking page to the iPad they check in on, and works backwards to the desk, the till and the records behind it. It is paid software for the few thousand clinics that want to feel like a five-star practice, and it was built in one.
A calendar per therapist that refuses double bookings and only offers qualified people. Drag to move, one tap to arrive, complete and pay. Holidays and time off show where they belong. Live arrival cards when a client checks in.

The client checks themselves in, confirms the treatment, signs any consent that is due, chooses a drink and the music, and leaves a note for their therapist. Reception sees it arrive with a soft chime. It is the moment your clients talk about afterwards.

A library of clinical consent forms mapped to your treatments. When a booking needs one the client doesn’t hold, it is requested, emailed and, if it isn’t signed by the day, offered on the iPad. Every signed form keeps the exact wording the client saw.

Monthly membership tiers billed by Square, with a treatment credit reception taps off when the member arrives. Clients book, manage their membership and sign forms in a portal that carries your brand. The till knows when to suggest the tier that would have covered today.

Not add-ons. Everything below is included on every plan.
Therapist columns, skills, rota and time off respected everywhere. Clients book from your page or their account with a lead time you set.
Card, card on file, cash and gift card, including part-payments. Refunds and end-of-day figures straight from your Square account.
Your tiers, your prices, billed monthly through Square. Credits top up on renewal; reception redeems with a tap.
Treatment-mapped consent library, auto-requests, drawn signatures, encryption at rest, access log, retention policy.
Self check-in, consent signing, drink, music and a note for the therapist. Live cards at the desk.
Working hours per person, who does which treatment, and holiday allowances counted in real working days.
Therapists see their own column and their own notes. Reception runs the desk. Only the owner sees settings and money.
Logo, colours, opening hours and emails carry your name, not ours. Your own domain when you want it.
Members joined, rebook rate at the till, no-shows, reviews requested and iPad check-ins, against targets.
Fresha is excellent at what it is: free software funded by a marketplace and payment fees, for every salon in the country. That is the trade. Here is what it costs a clinic.
| What matters to a clinic | Fresha | Xenkeep |
|---|---|---|
| Price | Free, plus 20% on new marketplace clients and card fees | From £99 a month. Card fees on your own Square account |
| Who owns the client | Fresha markets to your clients and lists competitors beside you | The clinic. Own portal, own brand, own data |
| Memberships | Basic passes | Monthly tiers, treatment credits, pause and cancel, member pricing at the till |
| Consent forms | Generic digital forms | Clinical templates mapped to treatments, requested automatically, expiring on schedule, signed by hand |
| Clinical records | A notes field | Encrypted, access-logged, retained to insurer standard |
| Arrival | None | iPad check-in: confirm, sign, drink, music, note |
| Team | Shifts | Rota, skills matrix, holiday allowances |
| Being found | The marketplace | Your own booking page, built for search, with review requests from the till |
The honest gap is the marketplace. We cannot recreate it, so we make each clinic findable on its own: a fast booking page under your name, structured for Google, and a review request sent while the visit is still fresh. Leaving Fresha is a playbook, not a leap, and we walk every clinic through it.

One monthly price and no cut of your takings. Card fees stay on your own Square account, and memberships are yours to price however suits your clinic.
One treatment room, up to two people.
Up to four rooms. Everything, including rota, holidays and the scorecard.
More than one site, with clients and reporting shared across them.
Every plan starts with a 30-day free trial and no card: sign up, and you’re in your own Studio a minute later with a welcome email that explains what to do first. Card processing is charged by Square on your own account, exactly as it is today, and never passes through us. Founding clinics keep their price for life. Questions first? Get in touch.
Yes. Xenkeep runs on your own Square account for payments, gift cards, the treatment menu and membership billing. If you take card payments already, moving to Square is a morning’s work and the rates are competitive. Your money never touches us.
You export them and we import them, with their history. Then you run both for a period, ask for Google reviews so your own listing carries weight, and unlist last. We give every clinic the playbook and walk through it with you.
In a database in London, encrypted at rest. Every view is logged against the client’s record. Records are kept for the period your insurer requires, eight years by default, and are never deleted automatically. You can export everything at any time.
No. A therapist signs in to their own column, their clients and their clinical notes. Reception runs the desk and the till. Only an owner sees the Studio, billing and the numbers.
Your name, your logo, your colours. The booking page, the portal, every email and the arrival iPad carry your brand. Ours appears nowhere your clients look.
You reach a person, not a ticket. The founding clinics have a direct line during opening hours, and the desk keeps working on its own calendar even if Square is having a bad day.
The live demo is the whole product, so start there. Then tell us about your clinic and whatever you are weighing up: pricing, moving from Fresha, how records and consents work. A real person replies within a working day.
